JOB DESCRIPTION:

Our client in the Klapmuts Region, an innovative and dynamic agricultural business, is looking for a Accounts & Packhouse Assistant.

 

KEY PERFORMANCE AREAS

  • Accounts
  • Supplier Invoice Processing on Xero
  • Scanning of supplier invoices and attaching them in Xero
  • Ensuring a copy of each supplier invoice is printed and in the physical files held
  • Check that each delivered good, or service rendered has the attached supporting documents
  • Calling suppliers to follow up on invoices after payment on quotes / pro-forma invoices
  • Identifying discrepancies between invoice and pro-forma invoices / quotes and informing the accounts
  • Monthly Supplier Reconciliation
  • Resolving any supplier queries that may arise or look unusual
  • Filling and keeping records up to date
  • Assisting the accounts team with any ad hoc processing
  • Checking that VAT is correctly captured on the supplier invoices
  • Saving Diesel and Petrol invoices on Dropbox for the Accountant to prepare the VAT rebate reports.

Packhouse

  • Capturing raw material harvest report to date
  • Populating information onto CHEP THAN Notes
  • Printing Customer Invoices and completing THAN NOTES accompanying the truck driver and assistant with the load and match the invoice and THAN Note to the load
  • Print labels for finished stock for the packhouse
  • Crate and pallet stock count weekly on a Monday morning before work starts +/- 6 - 7 am
  • Sign off pest control service report with Eco Pest control service monthly
  • Stocktake of packaging materials and revising of packaging materials on hand and ordered. Placing of orders under Theo’s supervision
  • Place CHEP orders on the CHEP Online Customer Portal
  • Issuing CHEP incoming orders for pallets and crates and handing this to the transport / truck team for collection of the order by the truck team at the CHEP Site / CHEP Customer Site.
  • Prepare the weekly crate plan order for Freshmark every Thursday, send this on to Freshmark on Friday before 12PM
  • Update the raw material sheet daily
  • Update the pack out % weekly to be ready for the next week
  • Request certificates of conformance from suppliers on packaging material
  • Keep Packhouse staff contracts up to date
  • Place weekly orders of packaging material from the relevant suppliers
  • Check stock take counts received from the Packhouse staff
  • Provide the supplier invoices on packaging material to Management for approval on payment

 

REQUIREMENTS

  • Matric / Post Matric qualification
  • 3-5 years’ experience within a similar role
  • Must be fluent in English and Afrikaans, both verbal and written
  • Proficiency in Xero and Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Proven strong planning and organizational skills and the ability to work effectively and efficiently in a dynamic environment
  • Able to work independently
  • Previous experience with agricultural business would be advantageous
  • Own reliable transport
