Acumatica ERP Administrator

POSITION INFO:

ROLE PURPOSE:

The ERP systems administrator is responsible for the Group’s day-to-day management, configuration, integration, and maintenance of the Acumatica ERP and 1Retail POS systems. They will provide first line of support for the ERP and POS systems. They will ensure the systems function smoothly, maximizing user productivity and contributing to overall business success.

KEY PERFORMANCE AREAS AND INDICATORS:

KPA 1

Assist in the administration and maintenance of Acumatica and 1Retail systems for multiple companies within the group

Outcomes:

· Configures and customizes the ERP system to meet Irvine’s requirements.

· Provide day-to-day user support and troubleshooting for system-related issues, including but not limited to data entry, system access, and report generation.

· Troubleshooting and resolving issues

· Collaborate with IT and business teams to implement system enhancements, upgrades, and integrations to optimize functionality and user experience.

· Monitor system performance, identify areas for improvement, and implement solutions to enhance system efficiency and reliability.

· ERP System uptime

· ERP related SOPs available and up to date

KPA 2

Assist in data migration, data cleansing, and data validation activities to ensure data accuracy and integrity within the ERP systems

Outcomes:

· Managing user roles, permissions, and security settings within the ERP and POS systems.

· Creating and maintaining user accounts

· Defining & reviewing access levels

· Ensuring data privacy.

· Managing and maintaining the integrity of data within the ERP system.

· Data importing, exporting, cleaning, to ensure data accuracy and consistency.

KPIs

· Up to date permissions matrix

· Up to date user register with properly provisioned access

· Activity monitoring reports

KPA 3

Responsible for training, support and incident resolution

Outcomes:

· Providing training and support to end-users on how to use the ERP system effectively.

· Creating user manuals and addressing user queries and issues.

· Working with IT and consultant teams to resolve user issues and requests.

• Conduct user training sessions and create documentation to support system usage and best practices.

· Participate in system testing, quality assurance, and user acceptance testing for new system developments or enhancements.

· Incident reports.

· Incident resolution within SLA provisions

· New training and refresher training schedules

KPA 4

Business Intelligence and Reporting

Outcomes:

· First line of support for BI needs

· Scheduling and automating system reports

· Stay updated with industry trends, best practices, and new features of Acumatica and 1Retail systems to provide proactive support and recommendations.

KPA 5

Documentation and reporting

Outcomes:

· Creating and maintaining technical documentation,

· Preparing system configuration guides, user manuals, and troubleshooting guides for the ERP systems.

KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED:

REQUIRED:

1. Degree or HND in an IT or business discipline.

2. Basic Financial principles.

3. Excellent knowledge of ERP systems.

4. Experience supporting or consulting ERP systems.

5. Excellent communication and interpersonal skills to collaborate effectively with users and cross-functional teams.

6. Ability to prioritize tasks, manage multiple priorities, and work independently or as part of a team.

7. Sense of Urgency.
