SUMMARY:
Our client in Cape Town who is a chemical manufacturer is looking to hire an Admin Manager to commence immediately.

JOB DESCRIPTION:

Duties for the admin manager:
  • To implement new quality control systems in the admin and factory and to maintain it.
  • To implement new training programs in admin and factory and to maintain it.
  • To monitor all telesales and all manager's ISO and SOP (standard operating systems) system and to make sure it is always up to date.
  • Monitor the tea ladies and their schedules.
  • Monitor reception schedules and daily admin tasks. Reports for sales manager related to sales. (Update Worksheets monthly for new customers, lost customers, prospects etc.) (Update Targets reports monthly) etc.
  • Study daily call sheets off telesales and study HSD reports weekly. 50 customer calls a day and 5 reps calls a day.
  • Training of new Telesales - Study products and learn systems to be able to train new telesales and to stand in when needed from time to time.
  • Update Telesales Daily Call Reports daily.
  • Monitor picking slip schedules and systems.
  • Monitor and maintain Monthly Procedures in Order Department.
  • Monitor the quotes monthly. (no expired quotes and all to be done within the first week)
  • Update and maintain all relevant spreadsheets on Master Artwork. (SOP’s)
  • Monitor and make sure all telesales files are neat and all files are up to date.
  • Update Tests results when needed and file tests away in test files.
  • Update Training files and spreadsheets monthly. No staff member can start working without being trained for up to two weeks. Relevant documents to be completed.
  • Update Monthly Management Reports monthly and file them away.
  • Create Award Certificates monthly for the relevant departments.
  • Support the Sales Manager with all necessary reports on a daily and weekly basis.
  • And to assist with any other function that will be necessary to make the admin, warehouse, dispatch, and production a success.
Minimum Requirements :
  • Grade 12
  • Clear Credit and Criminal Record
  • Admin experience of about 4 to 7 years
