Administrative Assistant
 

POSITION INFO:

• Provide Office support services to ensure efficient and effectiveness for the EXCO Team
• Receive, direct and relay telephone messages and emails in the company mailbox.
• Direct the general public to the appropriate staff.
• Travel bookings, requests, approvals & processing.
• Travel insurance
• Fleet control – License renewals, Services, General maintenance of fleet, Roadworthy control of fleet.
• Short Term Insurance claims – Insurance correspondence for goods in transit and Company parking area control.
• Maintain the general filing system and file all correspondence.
• Planning and preparation of meetings, conferences and conference calls.
• Respond to public enquiries.
• Assistance with site medicals, visa applications and work permits.
• Internal and external planning and management.

• Typing of documents and drafting letters.
• Develop and maintain filing system.
• Co-ordinate the repair and maintenance of office equipment
• Administration of vehicles/fleet
• Perform personal assistant functions
• Answer/re-direct calls and handle enquiries where possible.
• Greeting and assisting visitors. 
• Assist Executive teams as requested. 
• Provide administrative support to the Executive team.
• Perform other related duties as required
