Job Description:

An exciting opportunity has arisen for an experienced Administrative Assistant to provide comprehensive support to a team of Financial Advisers/Planners. The successful candidate will be responsible for assisting with daily administrative tasks and managing client portfolios, interacting with insurance companies, investment platforms, and clients. This role offers the opportunity to take full ownership of a set portfolio of clients and ensure a seamless service experience for both clients and advisers.

Key Responsibilities:

• Business Processing: Handle new and existing business, including investments, risk business, medical aid, trusts, and estates.
• Client Interaction: Monitor client reviews, requests, and new business activities while maintaining strong communication with clients.
• Diary Management: Effectively manage the broker’s diary and ensure all meetings and appointments are scheduled in a timely manner.
• Client Liaison: Provide ongoing support and liaison between clients, advisers, and relevant service providers.

Essential Knowledge & Skills:

• Microsoft Office: Strong skills in Outlook, Excel, and Word.
• CRM Systems: Extensive experience using CRM platforms such as @Work, Workpool, Elite Wealth, or XPlan.
• Financial Industry Knowledge: A solid understanding of financial services, insurance, and investment industries.
• Investment Platforms: Familiarity with platforms like Ninety-One, Allan Gray, or Glacier.
• Life Insurance Platforms: Experience with platforms like Discovery, Momentum, or Sanlam.

Qualifications:

• Essential: Matric (Grade 12).
• Advantageous: Industry-related qualification, such as a Certificate in Financial Planning or RE exams.

Key Outputs:

• Client Liaison: Maintain regular and effective communication with clients regarding their portfolios and any requests.
• Diary Management: Ensure that the broker’s schedule is efficiently managed and appointments are coordinated.
• Business Processing: Handle all aspects of new business applications and follow-up processes.
• Renewals & Reviews: Process fee renewals, conduct annual client reviews, and manage income revisions.
• Estate & Trust Administration: Provide support for deceased estates and trust administration, including document filing, drawing up minutes, and managing resolutions.
• Electronic Filing: Ensure all documentation is properly scanned, filed, and organized.
• Team Collaboration: Work collaboratively with the team to ensure tasks are completed efficiently and accurately.
• Overtime: Willingness to work overtime when necessary to meet deadlines or client demands.
