Our client that specializes in olive oil, coconut oil and flavoured oils is currently looking for an Assistant to General Manager to be based in Ottery, Cape Town.

POSITION INFO:
Position: Assistant to General Manager

Location: Ottery, Cape Town

Minimum Qualifications:

• Matric
• Experience in Project Management would be advantageous
• Familiarity with food safety and quality systems is compulsory
• Experience in generating sales orders and invoices using accounting software

• Excellent time management and organisational skills
• Strong written and verbal communication skills both English and Afrikaans
• Ability to multitask and prioritize tasks effectively
• Strong problem-solving skills and attention to detail
• Discretion and confidentiality
• Knowledge of food safety regulations and standards eg HACCP, FDA, FSSC

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and any accounting system, preferably Quick Books

• Manage calendars, schedule appointments, and coordinate meetings
• Prepare and edit correspondence, reports, presentations, and other documents
• Handle confidential information with discretion
• Organise and maintain files and records
• Assist with incoming phone calls and walk in visitors
• Assist with sales orders & invoicing

• Serve as the primary point of contact between the managers and internal/external stakeholders
• Screen and direct phone calls, emails and other inquiries.
• Draft and distribute communications on behalf of the General Manager

• Assist in planning, coordinating, and executing projects and initiatives for Sales and Food Safety Departments
• Monitor project timelines and deliverables

• Assist in budget preparation and expense tracking
• Coordinating travel arrangements and itineraries
• Manage office supplies and equipment

• Support the Food Safety Manager in ensuring compliance with food safety regulations and standards
• Maintain documents related to food safety inspections, audits and certification
• Assist in the implementation and monitoring of food safety protocols and procedures

• Work closely with other departments to ensure alignment and effective communication
• Support cross-functional teams in achieving organisational goals
