POSITION INFO:
Our client Bidx1 is looking for an Auction Coordinator to support all operations in their Cape Town office in the V&A Waterfront.
A keen attention to detail, effective time management, efficient prioritization, capability to work under pressure, dependability, strong organizational skills, and a flexible approach in a fast-paced environment are essential qualities to be successful in this position.
Responsibilities:
Legal
- Uploading of legal documents for properties timeously and correct
- Contract execution on Auction Day
- Auction Administration
- Approving bidders documents in the lead up to and on Auction Day
- Adding Deposit payments received to CRM
- Approving bidders to bid
- Assisting with Enquiries via phone & email
- Assisting Agents with uploading images to the photography portal if required
- Providing details post auction on whether offers have been Accepted or Declined by the Vendor
- Attending pre/post auction calls
Finance
o Client account management:
- Monitor the client account
- Assist with the allocation of payments and add them to CRM
- Liaise with bidders/the sales team to ensure bidder deposits are paid
- Liaise with attorneys and set up attorney payments
- Manage refunds for unsuccessful bidders
o Sales invoicing/statements:
- Ensure sales invoices and statements are correct and sent to the necessary parties
o Debtors:
- Ensure debtors are kept to a minimum and paid in a timely manner by liaising with attorneys and private individuals
Experience
- Minimum 2-year administrative role
- General knowledge of Microsoft Office
- Advanced Excel skills
- General knowledge of property search platforms (Not a requirement)
