JOB DESCRIPTION:

Our client in the FMCG sector, based in Port Elizabeth, is currently looking to employ an experienced Bookkeeper.

Requirements:

  • 5-7 years' experience in a bookkeeping position.
  • Relevant Degree/Diploma.
  • Experienced in Books to Balance Sheet.
  • Good knowledge of MS Excel.
  • Experienced in Pastel Evolution.
  • Must be able to work independently and work well under pressure.
  • Exceptional attention to detail.
  • Highly organized.
  • Able to meet deadlines.
  • Excellent communication skills.

 

Responsibilities and expectations but not limited to:

Sales:

  • Complete weekly, monthly sales report.
  • Ensure collection of few debtors sales (Mainly internal and related companies).
  • Ensure debtors are credit worthy.

Suppliers:

  • Review Creditors clerks’ supplier’s recons.
  • Load creditors and/or sundry payments on bank and/or check creditors payments and release payments.
  • Ensure creditors gets paid timeously to utilize discount.

Cash Book and Banking:

  • Process the cashbook payments and receipts accurately in Pastel Evolution.
  • Reconcile cashbook to bank statement daily.
  • Control cheque books, internal discount cards and loan vouchers.
  • Ensure enough cash in bank for debit orders, payments and transfer excess cash to investment account.
  • Weekly cash forecast of creditors that must get paid.
  • Check/oversee staff performing parts of above mention functions.

Payroll:

  • Prepare the small internal staff payroll.
  • Ensure hours, loan deductions, overtime, expenses, are recorded correctly.
  • Manage record keeping filing of labour issues.
  • Calculate department managers incentives accurately and with general managers approval.
  • Submit Emp201’s monthly and Emp501’s twice a year.
  • Check the larger outsourced staff payroll hours to the time keeping system.
  • Check the outsourced payroll deductions are correct.
  • Liaise with outsourced HR on any corrections or errors, timeously.
  • Manage the admin of any graduate or learnership programs.
  • Check that ETI for month have been calculated correctly.
  • Report any issues to the GM.
  • Prepare labour report monthly.
  • Check and oversee/train staff performing parts of these above-mentioned functions.

Audits, Stock Counts and Monthly Management accounts:

  • Assist in the evenings with stock counts twice a year, if required.
  • Audit stock count top values next day to ensure system records stock accurately.
  • Prepare Pastel set of books to trail balance each month and prepare Management Account(s) and vat returns for Senior Management to review.
  • Reconcile all accounts by month end and meet deadlines for Management Accounts deadlines.
  • Assist auditors on yearly audit.
  • Reconcile and balance related parties loan accounts.
  • On the monthly basis forward a completed and verified trial balance to group accountant to prepare the management account.

Ad hoc Duties:

  • Complete Insurance claims.
  • Help other branches out when bookkeeper is on leave.
