Role Overview:
The Car Rental Agent will be responsible for managing customer interactions, facilitating car rentals, and providing exceptional service to clients arriving at King Shaka International Airport. The ideal candidate will be customer-focused, well-organized, and able to work in a fast-paced environment. They will play a key role in ensuring smooth vehicle check-ins and check-outs, handling inquiries, and ensuring that every customer receives a top-quality service experience.
Key Responsibilities:

Customer Service & Engagement:
- Greet and assist customers at the car rental counter with enthusiasm and professionalism.
- Provide detailed information on rental options, terms, and policies.
- Ensure that customers are matched with the right vehicle based on their needs and preferences.
- Address customer concerns or inquiries promptly and efficiently, ensuring satisfaction throughout the rental process.

Rental Process & Vehicle Management:
- Process rental agreements, bookings, and payments accurately.
- Conduct vehicle inspections and document the condition of the car before rental and upon return.
- Ensure all rental documents are completed correctly and in a timely manner, including vehicle paperwork and insurance options.
- Manage vehicle returns, ensuring that all cars are returned in good condition and are promptly prepared for the next customer.

Booking Management & Administrative Tasks:
- Assist with booking reservations and manage changes or cancellations in a timely manner.
- Update the reservation system and ensure that all customer information is accurately recorded.
- Maintain inventory of rental vehicles, ensuring that fleet availability is always up to date.

Upselling & Cross-Selling:
- Promote additional services such as insurance, GPS devices, and car upgrades to customers.
- Upsell premium vehicles and encourage customers to extend their rentals, when appropriate.

Collaboration & Team Support:
- Work closely with other team members to ensure a seamless car rental experience for all customers.
- Ensure that the car rental area is well-kept and organized at all times.

Compliance & Safety:
- Adhere to company policies and procedures, including safety standards and operational guidelines.
- Ensure vehicles are properly cleaned and maintained according to company standards.
Qualifications and Requirements:

Education:
- A high school diploma or equivalent is required. A diploma or certificate in hospitality, tourism, or a related field is a plus.

Experience:
- At least 1 year of experience in customer service, ideally within the car rental, tourism, or hospitality industry.
- Experience with reservation systems or point-of-sale software is beneficial.

Skills & Competencies:
- Strong communication and interpersonal skills with the ability to engage effectively with customers.
- Excellent organizational skills and the ability to multitask in a fast-paced environment.
- Proficiency in Microsoft Office Suite and basic computer skills.
