JOB DESCRIPTION:

ADVERTISEMENT FOR POSITION: CLIENT AND ADMINISTRATION OFFICER

An established physio practice, in Fearie Glen Pretoria, is looking for a client and administration officer to be part of their dynamic and energetic team.

Overview of job:

To provide professional services to the practice clients aiming to expand their satisfied customer base and grow the business through innovative initiatives within his/her area of responsibilities.

Duties:

  • Schedule and confirm patient appointments and follow up appointments.
  • Ensure that patient appointments are on schedule and to notify the physiotherapist of any changes.
  • Ensure that all forms and policies are fully completed and signed by patients before treatment. All documents must be explained to patients if there are any queries.
  • Maintain patient files and accounts by obtaining, recording and updating personal and financial information electronically (Currently using platforms Kudu and Setmore).
  • Obtain revenue from patients after their appointment, before they leave and forward invoice to medical aid if necessary.
  • Prepare daily reconciling of payments for practice manager to sign off.
  • Dealing with debtors and creditors by managing and resolving outstanding payments including medical aid.
  • Verifying the receipt of supplies, keeping true and just record and filing of all invoices received.
  • Manage and update the practice website and social media pages and suggest content.
  • Follow up on leads form various electronic and social media platforms
  • Perform day-to-day administrative functions and general office duties or requested by practice manager.
  • Ensure high standard of cleanliness and hygiene at the practice by ensuring the room is cleaned and linen changed after every patient according to covid protocol.

Requirements and Skills:

  • Matric
  • Diploma in administration will be advantageous
  • 2-5 years’ experience in similar environment i.e. doctor’s practice.
  • Proficient in Afrikaans and English (read, write and speak)
  • Computer literacy (MS office word, excel, internet search, social media, various in-house platforms)
  • Planning and organizing skills
  • Professional telephone and face-to-face manner
  • Service orientated
  • Confidential handling of information
