Contracts Administrator

SUMMARY:
A well established company in Johannesburg North is looking for a Contracts Administrator to join their team!

POSITION INFO:
Requirements:

• 3 - 5 years’ experience as a Contract Administrator or in a similar role
• Matric or equivalent qualification
• Experience in administration and a rental or contracts related role

• Receive and review incoming rental or service contracts from clients, submitted by
• the Sales Representatives
• Accurately input contract details into the company’s contract management system
• Ensure all necessary documentation is included

• Ensure all new contracts comply with company policies, including rental amounts, payment details and contract durations
• Review key contract clauses and flag any inconsistencies or potential issues
• Address and resolve any discrepancies, changes, or clarifications required in the contract
• Liaise with senior management if there are any concerns or discrepancies that need resolution

• Organize and maintain accurate records of all incoming and processed contracts
• Ensure all files are stored securely
• Track and manage contract renewal dates, ensuring timely reminders for renewals or terminations

• Communicate with internal sales staff or Contracts Manager to clarify contract details or request missing information
• Respond to inquiries related to contract status, rental payment details, or contract terms
• Work alongside accounts, finance and service departments regarding the processing and execution of rental agreements

• Accurately load all rental contracts into the relevant software/database system
• Ensure that all terms and conditions are correctly reflected in the system
• Perform quality checks to ensure accuracy in the data entered

• Prepare reports for senior management on contract status, progress and completion twice a week
• Keep accurate records of correspondence, approvals and contractual amendments
