Our client based in Woodstock is seeking a dynamic and organized Events and General Administrative Assistant to join their team. This individual will play a pivotal role in supporting the planning, execution, and administration of various events, while also contributing to marketing efforts, business development, client management, and overall operational excellence. Responsibilities:

1. Marketing and Cold Calling:

   • Assist in developing marketing strategies to promote events and attract attendees.
   • Conduct cold calls and outreach to potential event participants, sponsors, and partners.
   • Collaborate with the marketing team to create compelling content and promotional materials.

2. Dealing with Smaller Events:

   • Manage the planning and coordination of smaller-scale events, including workshops, seminars, and networking sessions.
   • Handle event logistics, including venue selection, catering, equipment setup, and attendee registration.

3. Database Management:

   • Maintain an organized and up-to-date database of event participants, clients, sponsors, and partners.
   • Ensure accurate record-keeping for future reference and analysis.

4. Administration:

   • Provide administrative support to the events team, including scheduling meetings, managing calendars, and handling correspondence.
   • Prepare and distribute event-related documents, such as agendas, itineraries, and post-event reports.

5. Business Development:

   • Assist in identifying and pursuing new business opportunities and potential partnerships.
   • Research industry trends and competitor activities to contribute to strategic planning.

6. Client Management and Liaison:

   • Build and maintain positive relationships with clients, sponsors, and partners.
   • Act as a primary point of contact for event-related inquiries and ensure exceptional customer service.

Qualifications:

• Previous Experience: Demonstrated experience in event coordination and administration. Familiarity with marketing, cold calling, and client management is a plus.
• Communication Skills: Excellent verbal and written communication skills. Ability to interact professionally with clients, partners, and colleagues.
• Organizational Skills: Strong attention to detail and the ability to manage multiple tasks simultaneously.
• Problem-Solving: Resourceful and proactive in addressing challenges and finding solutions.
• Tech-Savviness: Proficiency in using event management software, Microsoft Office suite, and database tools.
• Flexibility: Willingness to work evenings and weekends as required by event schedules.
• Team Player: Able to collaborate effectively with cross-functional teams and contribute positively to the work environment.
• Education: A bachelor's degree in event management, hospitality, business administration, or a related field is preferred but not mandatory.
