Job Opportunity: Temporary Executive Assistant (Start ASAP)

Are you a mature, experienced professional with exceptional organisational and communication skills? We are seeking a proactive Executive Assistant to join our team on a temporary basis, starting immediately. Ideally, you live in or near Tokai, Steenberg, or the Southern Suburbs.

Key Responsibilities:

Calendar Management:

• Proactively manage and organise executives' schedules.
• Coordinate and prioritise appointments, meetings, and commitments.

Communication:

• Serve as the primary contact between executives and internal/external stakeholders.
• Manage emails, phone calls, and correspondence, ensuring timely responses and follow-ups.

Meeting Coordination:

• Schedule and prepare materials for meetings, including agendas, presentations, and reports.
• Attend meetings, take minutes, and distribute them promptly to relevant parties.

Travel Arrangements:

• Plan and coordinate travel, including flights, accommodations, and ground transport.
• Prepare detailed travel itineraries and address all travel needs.

Document Management:

• Maintain electronic and physical filing systems for easy access to important documents.

Administrative Support:

• Assist with expense reporting, document preparation, and data entry.

Confidentiality:

• Handle sensitive information with discretion and maintain confidentiality.

Requirements:

• Diploma or degree (preferred).
• 5–10 years of proven experience in a similar role.
• Strong minute-taking skills.
• Excellent organisational and communication abilities.
• High level of professionalism and discretion.
• Comfortable working in a dynamic environment.

Position Type:
This is a temporary position with an immediate start date.

Location Preference:
Candidates residing in Tokai, Steenberg, or the Southern Suburbs will be prioritised.
