Position Summary:
The successful candidate will report to the Chief Executive Officer (CEO) and will be responsible for providing executive and administrative support
to the office of CEO including the President of the Council.
Key Performances Areas:
• Act as the first point of contact dealing with correspondence and phone calls;
• Manage and coordinate the diary of the CEO by prioritizing and arranging internal and external meetings;
• Plan and organize travel and accommodation when required;
• Maintain effective filing and data storage including emails and retrieval systems ensuring the needs of the CEO
are met;
• Provide full personal assistant support by dealing with all correspondence and calls, drafting routine letters to a
high standard, minute meetings, taking messages, and other administrative tasks as required to support the CEO;
• Provide support for Council meetings by ensuring meetings are properly arranged and serviced. This will include
drafting agendas, collating documents and reports, taking minutes, and following up on action points;
• Support the CEO to keep the Council informed about the work of the organization;
• Service meetings of the Executive Team by drafting and collating papers and reports, preparing manageable
agendas, taking minutes, and following up on actions points;
• Plan and manage CEO office-led organizational events such as Staff Meetings, Management Meetings and
Executives Meetings and others as required;
• Participate and contribute to organizational/team meetings as required;
• Provide reports for the CEO as required;
• Carry out all the duties with complete discretion and high regard for confidentiality;
• Ensure that work is carried out in accordance with the companies values, policies, and procedures;
• Any other duties relevant to the needs of the organization and as directed.
Key Attributes Required:
• Minimum three (3) years Diploma in Office Administration / Management;
• Ten (10) years experience in office management with five (5) years at an executive management/board/council
support level;
• Excellent communication skills;
• Strong writing skills and presentation skills;
• Excellent planning, organizational and interpersonal skills;
• Ability to make sound decisions;
• Advanced use of Microsoft Office suite.
