SUMMARY:
Our Client is recruiting for a Field Administrator to assist in streamlining administrative and logistical operations within the Field Service Department

POSITION INFO:
Job scope:

Initiate and process purchase orders for necessary resources intervention.
Verify purchase order accuracy and coordinate with vendors to ensure timely deliveries.
Maintain purchase order records and documentation.
Receive, review, and process invoices for goods and services related to field service operations.
Ensure invoices are accurate and in compliance with company policies.
Collaborate with the finance department for payment processing.
FSE (Field Service Engineer) Expenses Management:
Collect and review expense reports submitted by field service engineers.
Verify expenses for accuracy and compliance with company policies.
Assist in expense report processing and reimbursement.
Coordinate and arrange logistics for field service trips, including travel, accommodation, and transportation.
Facilitate visa applications and compliance documentation for field service engineers traveling internationally.
Stay up to date with visa regulations and ensure adherence to travel guidelines.
Maintain accurate records of field service engineer work hours and assignments.
Assist in tracking time and effort for project-based work.
Generate reports on time and effort for management.

Level of education and languages:

Bachelor's degree in business administration, logistics, or a related field preferred.
Good English communication skills

Required experience and skills:

Proven experience in administrative roles with a focus on purchase order management, invoicing, and logistics coordination.
Familiarity with financial and procurement systems.
Excellent attention to detail and organizational skills.
Strong communication skills to liaise with internal teams, vendors, and field service engineers.
Knowledge of international travel requirements and visa processing is a plus.
