CORE PURPOSE OF JOB
Create a platform for enhancing the HR Service delivery across the HR value chain to realise efficiencies across the University.
KEY PERFORMANCE AREAS
• Accurately categorise and capture information including identifying problems, change and/or flag document and data integrity issues with relevant stakeholders
• Remove or flag procedural obstacles to quality data and data capturing accuracy
• Data and information processed and captured withing standards and guidelines
Appointment of employee
• Create an employee profile for newly appointed employees.
• Create new service records for current or former employees.
• Allocating a relevant code to newly appointed employees.
• Load the fund records to the employee profile.
Maintained employee data
• Update employee profile.
• Updated and accurate employee details
• Update and maintain leave records.
Termination of employee
• Terminate an employee service record (employee profile).
• Manually calculate leave payout on termination of service and reconcile service record.
• Manually convert the unused short term contract service record period and advise the relevant stakeholders to calculate and reverse the budget
• End the fund codes from employee’s profile.
• Notify payroll of employee termination.
General queries:
• Attending to general front-line queries from employees, line managers and HR.
• Process all payroll data according to University’s business process
Identify and alert relevant data trends to the line manager
• Executes HR front office (reception) area procedures, answers telephones, and disseminates information to employees and visitors as needed.
• Provides clerical support, including but not limited to filing, writing letters and organising files.
• Processes reservation requests for HR Boardroom
• Completes administrative tasks and functions within the scope of the role
• Communicates effectively when responding to inquiries from employees and general University community.
• Participates in monthly department meetings as scheduled by supervisor.
• Identify deviations and non-compliance from legislation and policy application.
• Assist in instituting corrective action with the relevant stakeholder.
• Report any non - compliance / deviations of policy or legislation to the specialist timeously.
• Invoking procedures to recover incorrect leave where supporting documents are not valid

• Dependant notification to inform when the maximum age is reached for membership of fund to be terminated.
REQUIREMENTS
• Matric / Grade 12
• Minimum of 2 to 5 years relevant experience
