SUMMARY:
Our client a top residential estate based in Ballito is looking for a bookings administrator for their holiday letting and to look after their welcome centre.

JOB DESCRIPTION:

REQUIREMENTS:

 

Grade 12

5 years customer service-related experience

 

SKILLS AND COMPETENCIES:

 

Computer Literacy (Ms office: Word, PowerPoint, Excel, Outlook)

Experience within Homeowners association work environment

Customer orientation and good telephone skills

Ability to consistently deliver high quality customer service in a professional manner

 

KEY PERFORMANCE AREAS:

Short term rentals

  • Receive all short-term rental bookings via email and respond to Members and agents confirming receipt of the booking and that the booking/s have been correctly processed.
  • Ensure that all correct documentation including ID/Passport are received per booking for administration purposes.
  • Prepare the arrivals list for bookings Monday to Fridays (08h00 – 17h00) excluding Public Holidays.
  • Liaise with Rental Agents and Holiday home rental homeowners in the event of an incomplete booking, additional guests, change of guest details, cancellations, and any other booking discrepancies
  • Ensure all rental guests have biometric profiles on arrival.
  • Ensure that all bookings received have been checked and confirmed as a rental approved property/agent against the rental database and that the bookings have been signed off by the Welcome Centre Manager prior to arrival.
  • Assist with meet and greet of guests on arrival.
  • Programme access cards on the system and load all short-term rentals on the ATOM tablet.
  • Assist security when information is required and related to short term rental bookings.
  • Ensure that the monthly booking spreadsheet is updated and emailed to the Welcome Centre Manager
  • Ensure that companies Suites bookings and ID numbers received via email, is correctly checked and loaded onto the ATOM tablet and emailed to the the companies Suites Manager, Security Manager, Liaison Manager and Welcome Centre confirming that the administration has been processed for access
  • Ensure all companies Suites rental guests have biometric profiles on arrival

 

Other Administrative duties

  • Assist with answering of the switchboard.
  • Take messages and ensure the timeous dissemination of messages to the homeowners association staff.
  • Facilitate the acceptance and dissemination of deliveries received on behalf of companies staff (i.e., documentation and parcels as and when required.
  • Provide general assistance to Members, Guests and Visitors as and when required.
  • Receive members guest forms via email or in person to be directed immediately to Reception helpdesk and ensure an acknowledgment of email to be received and noted by the receptionist.
  • Assist in the event of limited Welcome Centre staff or overflow during peak periods
