Invoicing Clerk

SUMMARY:
A client based in Centurion is looking for a temporary Invoicing Clerk to join their team on a 4 month contract basis.

POSITION INFO:
Qualifications & Requirements

• Matric
• Sage Accounting experience – Sage Evolution (Advantageous)

• Receiving new orders and loading on Evolution, check prices against quotation.
• Responsible for managing the “black list” (order book)
• Responding for all customer enquiries relating to delivery dates
• Interacting with Buyer and Production Manager regarding delivery dates
• Chasing orders that are overdue or falling due with above responsible VHE persons
• Proactively advising all customers when goods will be late (or if available for early delivery) and keeping customers updated when goods are overdue.
• Invoicing all orders that are ready for delivery, coordinating delivery or collection of goods with customer and preparing ASN’s (advanced shipping notification) for delivery to Transnet Engineering.
• E-mail invoices to customers after issuance
• Ensure all invoices orders have been delivered or collected
• Receiving back POD’s and matching with invoices. Ensuring that all POD’s are received back from customers/courier company/dispatch
• Maintain Contract files; advise Stuart when increases are due
• Providing information on order book to management
• Biweekly saving of “blacklist” on shared server, under Sales
• Completing the weekly Sales and New Orders Received spreadsheet
• Liaising with Forwarders for all Export Consignments
• Obtaining Quotes from Forwarders
• Calculate quote into foreign currency
• Liaising with customers on most competitive quote, obtaining their agreement to include the charge on the invoice and then adding the sales item line.
• Booking the shipment
• Producing the packing slip and carton labels
• Obtaining a Certificate of Origin, where necessary
• Sending shipping documentation to customer (invoice, packing slip, BOL/AWB, CoO)
• Follow-up with Forwarder/Customer to confirm when delivery is made.
