SUMMARY:
My client based in the Northern Suburbs, focusing in the Academic industry is seeking to employ an Journal Production Coordinator to join their team. The Production Specialist handles written texts through the production process, up to publication. You will be responsible for assessing the quality of work delivered by copy editors and proofreaders and ensuring that the Publisher's house style is adhered to in all published work. The Production Specialist is also responsible for working with layout editors to ensure that the text's overall presentation and its elements (e.g., tables and figures) meet the style and quality requirements. The Production Specialist manages the production schedule from acceptance to print and online deliveries and monitor page usage and other journal metrics.

JOB DESCRIPTION:

Responsibilities:
 
  • Manage all production phases for accepted work and the associated vendors working in those phases.
  • Manage and coordinate tasks between the copyediting, typesetting and proofreading specialists.
  • Develop, track, and troubleshoot production schedules and ensure adherence to the schedule by all stakeholders. avoid delays and standstills in the production phases.
  • Review and approve all stages of proofs before publication (i.e., the work of copy editors, proofreaders, and layout editors) for quality, correctness, consistency, accuracy, and readability.
  • Collate all change requests received from authors and editors on a single proof, and correctly determine whether these changes are aligned with the Journal Style Sheet and House Style.
  • Collate weekly editorial reports in conjunction with colleagues.
  • Review the files received from the vendors, authors, and editors for work quality, and upload final files for online publication.
  • Report any vendor work quality fluctuations or deviations from Journal Style Sheet or House Style to the Desk Editor.
  • Identify rights and permission problems in work and assist the author in resolving them.
  • Manage page budgets and page charges by requesting invoices with supporting information.
  • Invoice excess costs (e.g., galley change fees)
  • Request work orders for vendors used.
  • Always provide accurate information.
  • Be able to recognize cost drivers.
  • Stand-in for the leave cycles of colleagues as needed.
  • Work with all in-house teams to negotiate and monitor time frames for manuscripts in the pre-production stages.
  • Collect client requests regarding journal style sheets or services and submit them to the Desk Editor.
  • Assist with tabulating annual journal accept/reject rates and specific article data for annual reports and at Editors’ and Desk Editor's request.
  • Establish and maintain professional and responsive relationships with all stakeholders.
  • According to the production targets, publish manuscripts, and the requirements set out in contractual agreements.

Skills and Requirements:
  • Bachelors of Arts in Media and Writing and English Literature. 
  • Bachelors of Arts in English language and literature. 
  • 2-4 years of relevant editorial/publishing experience.
  • A demonstrated interest in the English language and publishing is essential.
  • Excellent written communication skills.
  • Proven language capabilities and ability to assess the quality/correctness of proofreading and copyediting delivered by vendors (English, but Afrikaans or French may be beneficial)
  • Highly organized and detail oriented.
  • Ability to efficiently coordinate time between various projects and tasks.
  • Highly computer literate and competent in the use of Microsoft Office (Word [Advanced], Excel [Basic], PowerPoint [Basic], and Outlook [or equivalent]) for e-mail communication, tasks, calendar, contacts.
  • Proven ability to be a collegial and effective member of a team.
  • Ability to read and comprehend complex material.
  • Ability to solve intellectual problems using established rules, procedures, and precedents.
  • Ability to innovate and solve problems that defy established rules, procedures, and precedents.
  • Ability to handle sensitive material with discretion.
  • Ability to work at a computer for extended periods.
