POSITION INFO:
You will have at least 5 years’ experience in a legal attorney/firm with an understanding of a legal practice and knowledge of general legal processes (action and application proceedings) as a Legal Secretary.

Key Responsibilities

•  Provide administrative support to attorneys, including managing calendars, scheduling appointments, and organizing meetings.
• Draft and proofread legal documents, letters, and correspondence with a high degree of accuracy.
• Maintain and organise case files, both electronic and physical, ensuring confidentiality and compliance with legal standards.
• Prepare trial and hearing binders, exhibits, and relevant documentation.
• Communicate effectively with clients, court personnel, and other legal professionals on behalf of attorneys.
• Manage billing processes, including tracking billable hours and preparing invoices. Able to keep track of disbursements, debtors and creditors and to ensure timeous invoicing and payment.
• Assist with the training and mentoring of junior legal secretaries and administrative staff.
• Stay updated on legal software and technology to improve efficiency and streamline office processes.
• Perform any additional duties as required to support the legal team.

• Legal Knowledge: Strong understanding of legal terminology, procedures, and court rules. Ability to draft court notices and pleadings and familiarity with basic court rules.
• Technical Proficiency: Proficient in Microsoft Office Suite and legal management software (e.g., AJS).
• Organizational Skills: Exceptional ability to manage multiple priorities, organize tasks, work under pressure and maintain project timelines.
• Communication Skills: Excellent written and verbal communication skills for effective correspondence with clients and colleagues.
• Attention to Detail: Keen eye for detail to ensure accuracy in documents and case files.
• Problem-solving Skills: Resourceful in identifying challenges and proposing solutions.
• Teamwork and Leadership: Ability to work collaboratively with other resources in the firm.
• Adaptability: Comfortable working in a fast-paced environment and adjusting to changing priorities.
