JOB DESCRIPTION:

Short Summary:

The primary responsibility of this position is to ensure efficient and effective planning for filling and allocating sales (Out) and procurement orders (In) to trucks.

Responsibilities:
  • Packed Products
    • The primary focus will be on Packed Product Planning: Wholesale and Bulk Packed.
    • The secondary focus will be on Packed Product Planning: Retailers and Food Services.
    • The position will also be a stand-in for Bulk Product and Protein Product planning.
  • Logistics of Packed Product Planning
    • Planning and coordinating Packed Product oil deliveries to clients and oils coming into SOILL.
    • Allocate sales orders and draft sales orders, capture them on the system and request a delivery date.
    • Update Planning Schedule according to set parameters on Frameworks.
    • Communicate any requested planning changes that deviate from requested delivery dates to Sales.
    • Planning sales delivery 2-weeks in advance according to draft sales orders (Phase 01).
    • Updating planning 1-week in advance according to draft sales orders (Phase 02).
    • Finalising planning 48-hours in advance with sales orders (Phase 03).
    • Coordinate delivery schedule with collection schedule (Procurement) to optimise truck efficiency.
    • Send Logistic Plan (Sales/ Procurement) to all relevant parties by 10h00, the day before loading.
  • Logistics of External Warehouses
    • Planning deliveries out of warehouses and executing logistics activities and delivery routes.
    • Effective communication between Commercial, Warehouse Administrators and External warehouses.
    • Making slot bookings with customers for deliveries.
  • Minimize Transport and Other Costs
    • Fleet utilization and profitability on dedicated vehicles according to the industry benchmark.
    • Best transport quotations per client and route.
    • Get the best transport costs and keep extra costs to a minimum.
  • Logistics of Procurement and Workshop
    • Ensuring trucks run effective and efficient (Out – Sales) and (In – Purchase) allocate loads.
    • Communicating with Procurement, Planning, Warehouse and Sales to optimize utilization.
    • Communicating with Logistics Administrator concerning transport PO generation.
    • Ensure Flow bins, bags and pallets are returned from Customers according to the information.
  • Coordinate Retailers and Food Service
    • Making slot bookings with customers for deliveries according to the client requirement procedure.
    • Communicate the planned delivery schedule to sales and operations.
    • Communicate to customers on the day of delivery any unforeseen changes in the delivery schedule.
    • Creating Load sheets (Frameworks) and the planning thereof.
  • Bulk/ Protein Product Planning and Seed (Stand-In)
    • Planning and coordinating Bulk oil deliveries and Protein Product and Seed deliveries to clients.
    • Allocate sales orders and draft sales orders, capture them on the system and request a delivery date.
    • Update planning schedule according to set parameters on Frameworks.
    • Communicate any requested planning changes that deviate from requested delivery dates to Sales.
    • Planning sales delivery 2-weeks in advance according to draft sales orders (Phase 01).
    • Updating planning 1-week in advance according to draft sales orders (Phase 02).
    • Finalizing planning 48-hours in advance with sales orders (Phase 03).
    • Coordinate delivery schedule with collection schedule (Procurement) to optimize truck efficiency.
    • Send Logistic Plan (Sales/ Procurement) to all relevant parties by 10h00, the day before loading.
  • Effective Route and Truck Planning
    • Planning the most cost-effective route according to client delivery.
    • Truck allocation according to sales orders.
    • If need be, book 3rd party transport, within set parameters, to ensure on-time delivery.
    • Communication between transporters and clients according to client expectations.
  • Client/ Customer Services
    • Slot bookings, delivery confirmations, and delivery reports.
  • Distribution and Planning Management
    • Drivers’ delivery and collection instruction and feedback.
    • Escalate all driver-related queries and issues to Management.
    • Making slot bookings with customers for deliveries.
    • Ability to present planned schedule to all relevant parties in weekly meetings.
    • Change any dates of delivery, received from Sales with the correct reason on Frameworks.
    • Ensure all relevant information is updated on Frameworks for visibility to all relevant parties.
  • General Administration
    • Doing administrative and clerical tasks.
    • Preparing and editing letters, reports, memos, and emails.
    • General office administrative duties.
  • Export Administration
    • Handle full communication between Transporters and the Boarder.
    • General Export Administration of export clients.
    • Completed clearing and delivery instructions with delivery notes and invoice.
    • Follow up on all documentation internally:
      • Finance
      • Quality/ Laboratory
    • Filing of all documentation regarding export orders.
    • Receiving and distributing the necessary documentation as and when needed.
  • Import Administration
    • Plan the import of products to and from:
      • Harbour
      • SOILL or
      • Client or
      • Internal/ External SOILL Bulk Oil Warehouses
    • Handle full communication between transporters, harbour, clients and warehouses.
    • Ensure slot bookings are in place for collection and delivery of import products.
    • Follow up on all documentation internally:
      • GRN
      • DN
      • Invoice
      • Finance
      • Quality/ Laboratory
    • Receiving and distributing the necessary documentation as and when needed.
Key Competencies:

Education and Experience

  • Minimum of a Grade 12 or NQF Level 4
  • 4-years relevant experiences in Logistics
  • Logistic Planner experience would be an advantage
  • Excellent computer skills especially Excel and SAP
