Operations Secretary

SUMMARY:
A vacancy exists for an Operations Secretary in the Mining Division based at Impala Platinum Refineries, Springs.

POSITION INFO:
The successful candidate will be responsible for a range of duties, including but not limited to:

• Providing professional secretarial and administrative support to site managers and clients.
• Managing and maintaining management schedules and calendars.
• Compiling, scheduling, and maintaining monthly Bidvest Protea Coin auditing reports.
• Processing and maintaining monthly site contractual and casual guarding invoices.
• Handling and reconciling service provider invoices.
• Managing petty cash statements and petrol card reconciliations.
• Processing and maintaining recurring orders.
• Creating, capturing and managing site purchase orders.
• Capturing and managing data for the security workforce management system daily.
• Updating job descriptions and operational procedures.
• Taking, typing, and distributing minutes of meetings.
• Ordering and managing consumable stationery and office supplies.
• Scanning, filing, and maintaining personnel files.
• Assisting and directing visitors to the Protection Services department.
• Liaising with internal and external stakeholders.

• Grade 12 (Matric) or equivalent qualification.
• Relevant administrative experience, preferably in a corporate or security environment.
• Professional appearance and strong interpersonal skills.
• Strong numerical ability and proficiency in financial reconciliations.
• Analytical and detail-oriented with a proactive approach.
• Excellent verbal and written communication skills.
• High level of accuracy and attention to detail.
• Strong planning, organizing, and time management skills.
• Ability to work under pressure while maintaining a high level of professionalism.
• Flexibility to work extended hours when required.
• Proficiency in MS Office (Excel & Word) with advanced knowledge of spreadsheets and financial reporting.
• Clean disciplinary record.
• Willingness to undergo and pass a pre-employment polygraph and medical test before appointment.
