REQUIREMENTS:

• Matric Certificate.
• Own transport.
• Tertiary Qualification preferred (Business Administration / Office Management or related)
• Minimum of 3 years administration experience.
• Highly proficient in Microsoft Office.
  • Experience in Xero Accounting is beneficial

• Fluent in business English and Afrikaans.
• Confident with strong communication and interpersonal skills.
• Strict adherence to confidential information.
• Planning, organizing, prioritizing and time management skills are important.
• Ability to multitask and prioritize daily workload.
• Proficient in analysing numerical, verbal and other sources of information to provide solutions.
• High level of attention to detail and accuracy.
• Ability to work under pressure.
• Strong cognitive thinking ability, and the ability to take initiative.

ORDER PROCESSING RESPONSIBILITIES:

1. Confirm supply of product at the various suppliers.
2. Liaise with customers regarding their daily fuel requirements as well as any deviation from normal order trends.
3. Raise new customer accounts on Xero, any other system provided by the employer, and supplier online portals.
4. Generate and issue proforma invoices for all cash orders.
5. Follow up and confirm payment from customers prior to issuing loading slips for cash orders.
6. For orders on credit, confirm that the customer has sufficient credit prior to processing orders.
7. Arrange the most cost-effective transport if the customer requires the product to be delivered.
8. Follow up on delivery documents and invoice all orders timeously in Xero or any other system provided by employer.
9. Follow up on outstanding customer account payments.
10. Provide daily and monthly reports as requested by employees.
11. Manage marine fuel bunker sales and administration as requested by the employer.
