We are looking for a PA/Resourcer/Recruiter Support to join our dynamic team and assist a high-performing recruiter. Key Responsibilities:
CV Preparation
- Format, update, and tailor CVs to align with job specifications.
- Maintain an organized and easily accessible CV database.
Scheduling and Coordination
- Schedule interviews and appointments between candidates, recruiters, and clients.
- Coordinate and send calendar invites, ensuring all parties are informed.
Reference Checks
- Conduct bulk reference checks promptly and accurately.
- Document and communicate outcomes to recruiters.
Administrative Support
- Maintain recruitment trackers, databases, and CRM systems.
- Handle recruitment-related correspondence and candidate inquiries.
- Assist in drafting job adverts and posting them on various platforms.
Compliance and Documentation
- Verify and file candidate documentation, including ID, qualifications, and certificates.
- Maintain strict confidentiality of sensitive information.
Reporting
- Generate and present weekly/monthly recruitment activity reports.
- Provide regular updates on candidate status and open positions.
Client and Candidate Support
- Maintain client and candidate databases, updating vacancies and records.
- Prepare contracts, agreements, and recruitment documents.
- Manage correspondence with clients and candidates via email and phone.
Diary and Schedule Management
- Organize and manage meetings, interviews, and consultant schedules.
- Send reminders and follow-ups to ensure timely communication.
Candidate Management
- Screen applications and schedule interviews.
- Coordinate background checks, references, and compliance documentation.
Document and Office Management
- Draft job descriptions, offer letters, and other recruitment-related materials.
- Order office supplies, manage filing systems, and maintain office confidentiality.
Marketing and Social Media
- Assist in creating and posting job advertisements.
- Manage social media accounts and engage with followers.
Candidate Sourcing
- Identify and headhunt candidates using job boards, LinkedIn, and networking.
- Create and optimize compelling job advertisements.
- Build and maintain a talent pool for future opportunities.
Skills and Competencies Required:
- Organizational Skills: Manage multiple tasks with exceptional attention to detail.
- Communication: Strong written and verbal communication abilities.
- Technology Proficiency: Skilled in MS Office Suite (Word, Excel, Outlook) and recruitment software or Applicant Tracking Systems (ATS) and CRM systems.
- Time Management: Ability to meet deadlines in a dynamic environment.
- Interpersonal Skills: Team player with excellent stakeholder engagement.
Qualifications and Experience:
- Education: Diploma or higher in Business Administration, Human Resources, or a related field.
- Experience: Minimum of 5 years in a recruitment or administrative role.
- Additional Qualifications: Knowledge of compliance and labour laws is advantageous.
