Accountable for driving customer service excellence through providing best practice guidance and oversight, and integrating various functional activities ensuring adherence to an operational framework of policies and procedures. This role will work with various related variables and require an understanding of organisational processes, procedures, standards and controls.
Job Purpose
The Pallet Administrator is responsible for ensuring the accurate, efficient, and timely management of pallet movements within a structured administrative framework. This role involves close collaboration with internal and external stakeholders to maintain operational efficiency, ensure compliance, and uphold the highest standards of safety, quality, and customer service.
Key Accountabilities and Outputs
Pallet Management and Coordination
•Accurately process and reconcile all CHEP pallet transactions daily, ensuring that all documentation and system entries are up to date.
•Proactively track and monitor pallet movements across the supply chain, identifying and resolving discrepancies promptly.
•Communicate outstanding pallet balances to service providers and customers to ensure timely resolution.
•Provide comprehensive feedback and reports on weekly pallet inventory levels, movements, and discrepancies.
•Maintain open and effective communication with Sales, Finance, Manufacturing, and Distribution teams to align operational activities.
•Collaborate with suppliers, transporters, and external service providers to ensure proper documentation and accurate processing of pallet movements.
Safety, Health, and Environmental Compliance
•Ensure full adherence to site safety standards and guidelines in line with the Occupational Health and Safety Act (OSH Act).
•Promote a safe and compliant environment for employees, contractors, and visitors by enforcing organizational policies and standards.
•Conduct regular assessments to identify and mitigate potential safety risks.
Food Safety and Quality Assurance
•Commit to the organization’s food safety policies, ensuring compliance with all relevant standards and procedures.
•Adhere to and enforce food safety protocols, including SOPs, PRPs, and GMPs, to maintain high-quality standards.
•Regularly practice hygiene protocols, including handwashing and sanitizing, to prevent cross-contamination.
•Raise food safety risks or issues promptly with the appropriate personnel.
•Support the organization’s goal of retaining GFSI certification by fostering a strong culture of food safety and continuous improvement.
Operational Excellence and Continuous Improvement
•Identify opportunities for process improvement in pallet administration and logistics operations, implementing solutions to enhance efficiency and reduce costs.
•Monitor key performance indicators (KPIs) related to pallet management and logistics, leveraging data insights to optimize performance.
•Actively participate in training and development initiatives to remain current with industry standards and emerging technologies.
Stakeholder Engagement
•Build and maintain strong relationships with internal and external stakeholders to facilitate smooth operations and alignment with business objectives.
•Act as a key point of contact for addressing pallet-related inquiries and resolving issues promptly.
Qualifications and Experience
•Educational Background: Grade 12 / Matric / NQF Level 4 (Essential).
•Experience: Minimum of 1 year in an FMCG, distribution, or logistics environment with operational exposure.
•Technical Skills: Proficiency in MS Office Suite (Excel, Word, PowerPoint, Email), SAP, or similar ERP systems.
