SUMMARY:
Our client, a Global trading logistics and distribution company, is looking for an individual to provide accurate, timely and efficient payroll services to its employees; for complex payroll calculations and transaction. Prepare payroll related data, statistics and other government reporting from the Payroll System. They will assist in the provision of an advisory and consultancy service to management and staff on a range of payroll related matters.

JOB DESCRIPTION:

Minimum Requirements:
  • Payroll Certification a strong pref.
  • 3 to 5 years payroll admin exp.
  • Matric essential.
  • SAGE VIP training and experience.
  • Proficient in Excel.
  • Knowledge of taxation regulations relating to Payroll.
Key Performance Areas:

Payroll:
  • Ensure the operational aspects of payroll processing and associated activities, including salary disbursement, over-payment recovery, leave management and reporting are accurate and delivered within appropriate timeframes and comply with relevant legislation.
  • Prepare payroll and HR information for data input by checking, quality controlling and maintaining records to ensure accuracy, service quality and data integrity.
  • Assist the company in meeting its taxation, provident, UIF, SDL and other legislative and statutory obligations through processing and preparing returns, related reports, forms and other documentation.
  • Process all staff salaries each pay period and input details on the Payroll system, ensuring that overtime, adjustments, penalties and leave are correctly updated.
  • Process all timesheets to ensure that information is correct and in accordance with legislation.
  • Ensure that salaries are allocated to correct cost centres.
  • Process provident and medical aid and provide relevant remittance information to Accounts Payable to facilitate electronic remittance in a timely manner.
  • Ensure that all payroll reports generated are accurate and correct.
  • Ensure all payroll deductions are correct before finalising pay run.
  • Ensure the you obtain the correct authorisation for the pay run before EFT.
  • Ensure payslips are distributed on time (electronically through ESS).
  • Administer and control issue of IRP5s and reconcile year end taxation requirements (including leave accruals).
  • Generate UIF documentation for termination, maternity leave, illness benefit, death benefit and adoption benefit.
Reports:
  • Prepare StatsSA quarterly report for timely submission.
  • Prepare and submit the UIF declaration monthly.
  • Prepare and submit the UI19 monthly.
  • Ensure IRP5s are prepared timeously for both current and ex-employees.
  • Ensure submission to SARS for annual return.
  • Prepare and submit the EMP201 to SARS each month.
  • Capture monthly Employment Statistics for EE reporting.
  • Prepare monthly leave report for the HR Manager.
  • Prepare Biometrics reports regarding daily attendance.
  • Prepare a monthly Payroll report for the HR Manage.r
Tettey:
  • Keep record of all Warehouse Labour workers timesheets.
  • Receive, analyse, and create purchase orders for contracted labour staff weekly.
HR Administration:
  • Maintain leave records for all employees.
  • Administer and monitor employee membership of the provident fund and medical aid.
  • Maintain the personal records of employee benefits.
  • Compile and issue Certificates of Service and end of tax year procedures.
  • Administer Learnership subsidies.
  • Provide mock payslips to HR team if required.
  • Link employees on Employment Equity screen.
  • Assist with annual DOL submissions: EEA2 & EEA4.
  • Assist with monthly BEE audits and facilitate year end BEE audits.
Client Services:
  • Provide and promote service excellence and foster effective teamwork and business relationships.
  • Provide a responsive, accurate client advisory service on payroll matters.
  • Resolve enquiries and assist in identifying payroll errors.
  • Implement corrective action where required to ensure employee payments are processed accurately and database integrity is maintained.
