SUMMARY:
To administer and maintain Human Capital systems and processes. This involves the management of employee records in line with relevant legislation. Compiles and submits relevant reports to enable decision making and supports the execution of Human Capital processes. The incumbent collates payroll data to ensure that staff are paid on time. The incumbent will be required to follow the company's payroll processes and procedures and comply with legislative requirements.

JOB DESCRIPTION:

Duties:
Administers the payroll process
  • Ensures that the payroll processes, procedures and legislative requirements are followed.
  • Collates and manages payroll data considering monthly employee movements.  Reviews approval status of all claims and reimbursements for payroll purposes.  Ensures accuracy and completeness of pension and group life information as well as execution of payment including annual changes.
  • Manages and execute monthly payroll.
  • Resolves payroll queries.
  • Distribute monthly cost center reports to Finance.
  • Ensures monthly settlement of all payroll related expenses (PAYE, UIF, SDL, etc.).
  • Administrates the Group Life Benefits and Pension Fund payouts, claims, terminations.
  • Manages service delivery of existing providers with regards to Employee Benefits
  • Support HC Manager with regards to Annual Salary Review Process
  • Capturing and maintaining data on ShareForce
Human Capital Management 
  • Administers and supports all Human Capital processes and policies.
  • Managing and updating the Human Capital document system
  • Provides support to the HC Consultant in updating and implementation of Human Capital policies and procedures.
  • Provides operational administration and support to the Human Capital department.
  • Maintains and manages individual employee files.
  • Maintain and manages employee information on SAGE/ESS.
  • Monitors the completion of all performance appraisals.
  • Coordinates the quarterly induction programme.
  • Coordinates and monitors onboarding for all new employees.
Recruitment and Selection
  • Supports HC Consultant in the facilitation of a fair and effective recruitment process. This includes:
  • Facilitates and manages the recruitment process;
  • Sources suitable candidates from existing talent pipeline or database;
  • Compiles and validates the job advertisement;
  • Advertises the vacancy within agreed timeframes and on appropriate platforms to attract the suitable applicants;
  • Manages the shortlisting of applicants;
  • Manages selected recruitment service providers with regards to a specific vacancy;
  • Manages the offer and appointment process
Supports and coordinates Organisation Effectiveness initiatives
Coordinates and supports the implementation of training solutions
Provides accurate reporting to all relevant stakeholders
Plans and implements the EE Plan
Supports the HC Consultant with administration related to Industrial Relations matters

Requirements:
  • Diploma or degree in Human Resources Management.
  • 3-4 years' experience within a Human Resources Administrator role, with a specialization in payroll 
  • Sage 300 system
