Personal Assistant to Chairman / office Manager /PA

SUMMARY:
To provide high level confidential support to the Chairman by providing a full secretarial and administrative service. Ensuring that effective planning and administrative systems are in place and maintained efficiently and effectively.

POSITION INFO:
KEY DELIVERABLES

• To act as a first point of contact dealing with correspondence and phone calls for the Chairman
• To provide full personal assistant support by dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required to support the Chairman
• To proactively manage and coordinate the diary of the Chairman by prioritising and arranging internal and external meetings, ensuring appropriate documents are prepared and provided controlling access to the Chairman
• Plan and organise local and international travel and accommodation inclusive of transport arrangements when required
• Draft and maintain the Chairman’s Annual Calendar
• Maintain effective filling system including emails ensuring that the documents are easily accessible to the Chairman
• To provide support for Executive, Board Sub Committees and Board Meetings by ensuring these meetings are set up timeously and logistics are arranged prior to meetings
• To plan and manage key organisational events such as the Strategy meetings as required
• To assist the Chairman with Conference presentations and company presentations as required
• Undertake any other appropriate duties as required to support the Chairman to enable him to fulfil his role
• Carry out all the duties with complete discretion and a high regard for confidentiality
• Any other duties relevant to the needs of the organisation and as directed

• Computer literate – Microsoft Office (intermediate); Excel; PowerPoint
• Organizational skills (ability to plan, delegate and organize within defined timelines).

• Excellent written and verbal communication skills
• Ability to pay attention to detail and to multitask
• Ability to work flexibly and occasionally after hours

• Matric
• Relevant Diploma or Degree
• Valid driver’s license
• Must have 8+ years’ experience
• Paralegal will be highly advantageous
