SUMMARY:
My client in the Mining Industry based in Illovo is urgently looking for a Personal Assistant (directors level) for the MD. Must be VERY DYNAMIC, WELL ORGANISED and preferable a Male age 38+ due to needing someone who is very mature. STABLE employment record essential.

My client in the Mining Industry based in Illovo is urgently looking for a Personal Assistant (directors level) for the MD. Must be VERY DYNAMIC, WELL ORGANISED and preferable a Male age 38+ due to needing someone who is very mature. STABLE employment record essential.

Minimum Requirements: 
  • Male candidates only
  • Age 38+
  • STABLE track record.
  • Matric
  • Very Dynamic
  • 4+ Years experience (PA to a Director)
  • Certificate - Secretarial would be ideal 
  • Excellent Writen and communication skills (Executive level) 
  • Excellent financial acumen
  • MS Excel and MS Word Advanced
  • Be able to take Minutes
Main Job Responsibilities:
  • Well versed with basic financial matters, as the you will handle invoices for subsidiary businesses e.g. agricultural activities,
  • Inbound and outbound flight bookings,
  • foreign currency applications,
  • Handling the MD’s personal accounts e.g. municipal accounts for various properties, helicopter fuel, landing fees and other expenses incurred.
  • Send all financial document to the Finance Department which deals with actual payments, but you will handle the receiving, checking and verification of the invoices before it is forwarded to the Finance Department for payment.
  • Coordinates work with executives and support staff to ensure a high performance customer service oriented work environment.
  • Prepares and drafts memoranda, correspondence, and other documents and reports often of a highly sensitive and confidential nature
  • Prepares schedules, agenda, meeting materials and types minutes for various meetings.
  • Maintains the MD’s calendars; coordinates, arranges and confirms meetings.
  • Receives telephone calls, providing information and handling issues that may require sensitivity and use of sound, independent judgment.
  • Performs other reasonable duties assigned but not limited to: Event planning, ordering of stationery and refreshments, booking of flights and accommodation, telephone call screening, processing expense claims, children school activities and pic ups etc.
Personal Atrributes: 
  • The candidate should be a non-smoker. (at least during working hours)
  • The candidate should have his / her own transport.
  • The candidate should be willing to work overtime from time to time, with additional overtime payment of course, if and when required.
