SUMMARY:
Medical Practice based in the Fourways area are looking for an experienced and professional Receptionist.
POSITION INFO:
Medical Receptionist position working for a team of practitioners.
Full-time position with a 1 year contract to be renewed annually with potential of increase.
Working hours are Monday to Friday 8am to 5pm and Saturdays from 9am to 1pm.
Responsibilities and duties are as follows:
- Call or send messages to confirm patients booked the day before the scheduled appointment.
- Book in patients.
- Confirm patients have filled in the intake forms and privacy policy and consent.
- Capture patient details, email and phone number on diary system.
- Let the Practitioner know when the patient has arrived for their appointment on the system.
- Take payment from patients (card and cash payments).
- Log a note on the system for the Practitioners who need to call a patient or have an urgent
message.
- Log a note of communication to patients on the system (confirmation of appointments,
outstanding funds, cancellation reason when patients cancel their appointments etc.)
- Manage the emails.
- Answer the work phone.
- Greet patients.
- Load patients onto panacea (invoicing system) to submit for medical aid or cash/card
payments.
- Take and capture payments on the system.
- Follow up with unpaid accounts.
- Email statements to patients and update with notes on Google sheets.
- Update unpaid accounts using remittance advice from medical aids or once proof of
payment has been received from a patient.
- Create daily reports and check correct payments throughout the day.
- Help with letter and report writing where needed.
- Daily filing.
- Call specialists to make urgent bookings for patients.
- Email letters to patients when needed.
- Scan documents and email it to patient’s who email us requesting sick note or report
or note for work etc.
- Call radiology departments to find out cash prices for scans if needed.
- Call radiology departments to request scan reports for when it is not received, or we
need to get a scan for a patient.
- Send a report back to people who have referred patients when needed.
- Order stock.
- Email patients exercise programs drawn up by the Practitioner when needed.
- Update and scan and email forms to medical aids requesting updated information.
- Print invoicing system and card machine daily summary
SKILLS AND EXPERIENCE
• Ideally have worked as a medical receptionist before
• Used some kind of medical diary or invoicing systems before although it may not be
Cliniko, Panacea or EZMed
• Experience in the reception industry and dealing with people and bookings

SALARY
• Depending on experience, the salary for the position is a gross amount of R14500
per month which equates to a net amount of R13 181.25 after tax• There are options for incentives and annual increases based on performance
• There are no other benefits included.
• There is currently potential for practice expansion in the next few months which
would also lead to a possible increase in salary
