SUMMARY:
My client in utilities is currently looking for an experienced Purchasing Officer to join their team on a three months contract, to report to their head office.

JOB DESCRIPTION:

RESPONSIBILITIES:

To ensure a cost effective procurement of goods and services required by the company in terms of the Supply Chain Policy and Standing Operating Procedures.
Ensure that the provisions of the Procurement Policy are adhered to, in particular: Delegation of authority, Contracting procedures, Quotation procedures, Motivations.
Adjudication procedures.
Ensure information on requisitions is accurate.
Analyse supporting documentation, i.e. quotations and motivations for correctness.
Identify items available in terms of framework and generate purchase orders in accordance with the standard procedure; Ensure rotation of suppliers.
Submit purchase orders to relevant managers for approval in compliance with the delegations of authority.
Identify suitable suppliers from the supplier database.
Ensure rotation of suppliers.
Request quotation in terms of technical specifications and quality standards required by the user departments, collate quotations received.
Liaise with user departments concerning adequacy of technical specifications, quality and operational durability.
Receive electronic requisitions and supporting documents.
Review adequacy of electronic information.
Reroute as required for correction and authorisation in terms of work flow procedures.
Generate purchase orders.
Monitor due delivery dates on purchase orders.
Follow up late deliveries with suppliers.
Produce weekly activity reports on: Requisitions received, Purchase orders generated, BEE Procurement, Repetitive purchases.
Liaise with user department.
Advise on procurement procedures.
Ensure all documentation are filed.
Adhere to company’s record management policy.

REQUIREMENTS AND EXPERTISE:

National Diploma in Supply Chain Management (NQF 6).
3 years procurement experience.
SAP Material Management Module.
Microsoft Office and inventory procedures experience.
