Sales Administrator

POSITION INFO:

We act for a leading manufacturing company in the Pietermaritzburg area, currently seeking a dedicated and experienced Sales Administrator to oversee customer service with regards to but not limited to, outstanding orders, queries, pricing delivery, invoices, order confirmations.

Key Requirements:

• Grade 12 /Diploma or Higher Cert in Sales Management or equivalent.
• 1+ years of experience in Sales department.
• Microsoft Package (Word, Excel, PowerPoint and Outlook) 

Key Responsibilities:

• Action incoming orders from customers, then raise internal order confirmations on
  the system (Business Central) and copies to be filed in main pack including costing
  sheets and RFQ’s.
• Complete checklist with relevant information i.e Indent No. /M.O and for accuracy.
• “Packs” to be filed pending final transfer from production when order is complete,
  and the stock is invoiced. Stock can only be involved on the day or day before for
  loading so needs to work out details of consolidated loads if export orders.
• Invoice and delivery documents to given to FGS Controller for them to arrange
  dispatch.
• Completed packs are to be archived in Indent No. order sequence and filed on one
  drive as well.
• Assist in any problem solving and assist with report for management.
• Daily reviewing and actioning of customers Open Shipment report.
• Weekly reviewing of customer backorders vs outstanding PO REPORTS.
• Analyzing and actioning the Ageing reports.
• Commercial and Tax Invoices to be generated once the orders are ready for Shipment.
• SADAC and/or MSDS documents need to be prepared where necessary.
• Assists with requesting of new products codes if required.
• Monitoring of production of customers’ outstanding orders with the Planning
  department.
• Check and verify pricing on the PO’s received from customers before generating
  Orders Confirmations.
• Ensuring that invoice targets are met.
