We are seeking a highly organized and detail-oriented Tour Administrator at my client’s offices in Atlas Gardens on the Contermanskloof Road near Durbanville.  This role requires excellent communication skills, the ability to work independently, and a strong understanding of the tourism industry.

RESPONSIBILITIES:
 
Tour Operations Management

• Coordinate Tour Arrangements: Book and manage flights, accommodations, transportation, and other necessary tour arrangements for clients.
• Supplier Liaison: Communicate with suppliers to confirm bookings and ensure all logistical arrangements are in place.

• Responsive Communication: Ensure prompt and professional communication with product managers throughout the tour planning process.

• Travel Documentation: Prepare and distribute travel documents, including tickets, vouchers, and itineraries.
• Financial Management: Manage travel expenses, closely work with the finance department to ensure payments are processed timeously, and ensure compliance with company financial policies.
• Reporting: Generate reports on tour operations and client feedback as required.

• Industry Knowledge: Stay updated on travel regulations, industry trends, and emerging technologies to optimize tour operations.

• Interdepartmental Liaison: Work closely with other departments (e.g., marketing, operations, finance) to ensure cohesive tour planning and execution.

• Relevant diploma or degree in Tourism, Travel, Office Administration, or related fields.
• At least 2 years of experience in the tourism industry, preferably in a similar role.
• Proficient in Microsoft Office (Excel, Word, Outlook),
• Strong communication and organizational skills,
• Ability to work under pressure, independently and flexibility to adapt to changing travel schedules.
• Fluent in English and Afrikaans.
• Fluency in German would be a significant advantage (but not a requirement)
• In-Office Requirement: The Tour Administrator will be required to work from our office location in Atlas Gardens Business Park, Contermanskloof, Cape Town. This position does not offer remote or flexible work arrangements.
