SUMMARY:
Our Client requires a Back Office Support Administrator to join their Gqeberha Office. This position is on a temporary basis

JOB DESCRIPTION:

Sales Back Office Support
- Reception duties- Actively engage with customers to provide a memorable experience
- Assist walk in customer requests or arrange that they deal with a sales engineer
- Respond to high volume customer requests: phone, email and chat
- Enter quotes and orders with a high level of accuracy on CRM System
- Provide product information order status, information on back orders, delivery dates, parcel tracking wrong
deliveries and addresses, price and availability of stock items
- Load new clients and/or effect changes to client’s details in CRM system according to guidelines
- Process credits, rebills and collaborate with service and technical support to ensure all customer needs are
fulfilled
- Log any customer problems or complaints on the record so that sales representatives and managers have a
complete picture of the customer’s interactions with the company in a manner to promote the company
strategy.
- Assist with Trade Shows and any customer functions as required

Administration
- Load new clients and/or effect changes to client’s details on ERP System
- Receive, load and process customer orders on the ERP system
- Follow procedure to order stock over and above the system stock order (EDI)
- Request UPS orders according to procedure and approvals
- Receipting and confirm of all stock received onto ERP System, reporting of variances
- Invoice received stock shipments which are back orders
- Invoicing customers for all goods sold, getting stock out ready for collection and delivery.
- Arrange delivery of goods by courier companies to various areas across South Africa
- Create and place buy-out orders according to company procedure
- Filing and archiving of paperwork considering POPI act and retention policy.
- Scan POD into PDF format and file on PC according to invoice number system.
- Work hand in hand with fellow Customer Support team members, Credit Controllers and stores department
- Responsible for stock takes

Stock Control
- Maintain the stock and stock room

General Office Duties
- Maintain office procedures
- Monitor cleaning service to ensure office neatness
- Maintain stock of office stationery and photo stating consumables.
