Tender Administrator

SUMMARY:
We require an Administrator with tender administration experience from a consulting engineering firm. It is imperative that you have experience working from the Build Environment.

POSITION INFO:
Minimum Requirements:

1. Grade 12
2. At least 6 years experience working in a consulting engineering firm
3. Experience from the Built Environment
4. Knowledge of: FIDIC Contracts & agreements, NEC4 ECC Contracts, PMBOK Terminology
5. Proficient on Adobe Acrobat

• Compliance and Governance:
  • Ensure adherence to policies, procedures, and ISO standards.
  • Maintain up-to-date contractor documentation.
• Procurement and Contracts:
  • Prepare purchase orders, letters of appointment, and request for quotations/approvals.
  • Manage wayleaves and renewals.
• Administrative Support:
  • Provide general administrative support to project managers and technical principles.

• Prepare draft construction tenders with technical input.
• Create pre-evaluation schedules and format bills of quantities.
• Maintain a library of project specifications.

• Project Updates:
  • Compile close-out reports, monthly progress reports, and EPWP labor monitoring.
  • Format technical proposals, inception/design reports, and PSC reports.
• Meeting Management:
  • Schedule, edit, and submit project minutes (main and technical).
  • Manage internal business unit minutes and project manager calendars.

• Maintain electronic and hard copy filing systems.
• Complete timesheets and manage project-related issues.
• Monitor and manage site photos, EPWP reports, certificates of completion, sureties, warranties, and time-sensitive contractual documents.

• Assist coworkers with professional registration and memberships.
• Assist with ISO label/file/register maintenance and filing.

• Operate the switchboard, receive/check deliveries, and assist walk-in clients/contractors.
• Compile CVs, prepare supporting documentation, and maintain personnel experience tables.
• Copy, scan, bind, and package bids.
