The Tender Executive is responsible for managing the tender process from inception to completion, ensuring timely and accurate submission of tenders.
QUALIFICATIONS:
- Bachelor''s Degree or Diploma in Business Administration, Supply Chain Management, Finance, Accounting, or a related field.
WORK EXPERIENCE
- 2 years’ experience in a comparable role
- Computer Literacy: MS Office: (Word, Excel, PowerPoint)
- Knowledge and experience of working on Government and Private Sector Tenders
- Extensive experience in preparing, coordinating, and managing bids, as well as a deep understanding of procurement processes and tender regulations.
- Experience in cleaning services sector advantageous
TASKS/ ACTIVITIES
- Lead the entire tender process, including pre-qualification, preparation, submission, and post-tender activities.
- Develop and maintain a detailed tender schedule, ensuring all deadlines are met.
- Identify and source new tenders daily on various tender sourcing platforms in both public and private sectors
- Ensure that all tender administrative tasks are completed comprehensively and on time
- Tender database registration/ supplier registration
- Collaborate with the team to assist with the compilation of completed proposals
- Arrange and coordinate strategic meetings between decision makers
- Format and proofread tender documents for accuracy and completeness.
- Ensure that presentation and business proposal documentation are collated and presented in a professional manner
- Liaising with supply chain personnel with regards to tender queries
- Ensure professional client relationships.
- Attend tender brief meetings.
- Ensure timely liaison with clients.
- Ensure that all company supporting documents are included in the tender document.
- Ensure all tender compliance documents are in place.
- Ensure all company documents/details are up to date
- Updating and compiling of supporting documents with regards to required documents for tenders.
- Delivering accurate tender progress reports
- Maintain tender register
- Provide accurate tender communication to management.
- Compilation of final bid documents, and coordinate arrangements to deliver final documentation to the client within the defined tender deadlines and in the correct format
- Submission of tenders timeously
- Knowledge Within The Cleaning Industry
