Travel Bookings Administrator - Contract

Join our exciting clients team based at the Waterfront working from their dynamic new upmarket offices to manage their travel portfolio for their employees and contractors.  

Experience is required for Domestic & International travel using online travel booking platforms, reservation systems, ticketing procedures - flights, accommodation, visas etc.



We require your vibrant attitude, energy and commitment to manage their team that travels extensively - flights, accommodation visas etc.

POSITION INFO:
REQUIREMENTS

• Matric, relevant qualification in travel and tourism advantageous
• Minimum of 2-3 years of experience as a travel agent or coordinator
• Strong knowledge of domestic and international travel destinations
• Experience in online travel booking platforms, reservation systems, and ticketing procedures
• Multitasking, prioritizing and manage time effectively
• Attention to detail to ensure accuracy in bookings, itineraries, and travel documents
• Problem-solving skills to address travel-related issues and conflicts promptly
• Fluency in multiple languages is a plus, depending on specific employee groups
• Visa appointments and paperwork experience to a certain extent
• Microsoft Office Suite i.e. word, excel, PowerPoint and Visio – intermediate to advanced level of proficiency
• Sage x3 experience essential
• Experience in handling complex travel arrangements, including group bookings, corporate travel, and international destinations
• Knowledge of current industry laws, regulations, and ethics pertaining to the travel industry

• Keeping track of travel and costs arrangements
• Correspondence with the travel agent, employees, and Head of Teams
• Ensuring that travel request forms and approvals are maintained and filed
• Interacting with clients and employees to determine their travel requirements, preferences, and budget constraints
• Researching and providing appropriate travel options, itineraries, and packages to get the best SLAs in place as well as the best prices
• Booking flights, accommodations, transportation, covid testing, vaccinations, and other travel-related services on behalf of clients and employees
• Advising clients and all employees on travel regulations, visa requirements, and insurance options
• Driving all communications with regards to clients and all employees on travel & accommodation arrangements
• Handling various administrative tasks, including preparing and maintaining travel records, purchase orders, invoices, and booking confirmations
• Developing and maintaining relationships with travel suppliers, such as airlines, hotels, and service providers
• Staying updated on industry trends, new travel destinations, and special offers to provide employees and the Office Manager with the most relevant and value-added advice
• Assisting employees with travel emergencies, changes, cancellations, and rebooking as required
• Supporting the full turnkey process of bid submissions and all the logistics entailed
• Supporting the Marketing & Communications team with travel and logistics for conferences and events
