We're excited to announce a new opportunity to join our team as a Warehouse Non-Foods Controller, to Meets warehouse operational standards by contributing to implementing production schedules and identifying warehouse system improvements. Improve employee workflow, enforce and entrench the warehouse performance standards and targets and use these for guiding and mentoring staff. Direct, guide and coordinate the warehouse processes. Achieve efficiency by monitoring the application of work specific guidelines and standard operating procedures and constantly work to improve warehouse processes. Effectively contribute to the control of stock movement and stock management to reduce stock damage costs and optimise customer satisfaction.
Supervisory
Communicating job expectations, planning, monitoring, appraising job contributions and enforces company policies and guidelines. Motivating and disciplining staff. Coordinate and support performance targets. Supervise effective working of personnel and prepare effective work schedules to ensure that warehouse production plans are completed by a certain time. Measuring and reporting the effectiveness of warehousing activities and employee’s performance. Motivating staff through continuous training and interacting with staff. Lead the department in developing effective work habits, efficient skills, and high standards for quality. Ensure that employees are fully accountable for their role in the final work output. Address issues surrounding efficiency and quality control to maintain high standards of productivity and avoid any lapses in performance. Monitor the performance of employees to ensure they are all contributing sufficiently and working safely. Assist staff achieve company goals by communicating expectations, planning, monitoring, and evaluating job results. Management and maintenance of warehouse working equipment, including but not limited to hysters, trolley jacks, tablets and trollies.
Warehouse Operational efficiency
Ensure that picking of orders is done efficiently and accurate maintaining the highest level of quality and customer service. Determine and track warehouse KPIs and implement strategies and techniques to maintain efficiency in the department. Enforce operating instructions & work processes. Ensure that orders are quickly and correctly hand-over ordered products to the distribution department. Coordinate with the relevant departments in the processing of walk-In orders ensuring a timely and accurate service with a high level of customer service delivered.
Determine staffing levels and assign workload. Oversee performance of Warehouse including efficiencies, quality, and other relevant outputs. Ensure picking orders efficiently and accurate maintaining the highest level of quality and customer service.
Staging Effectiveness and Quality Control
Ensure staged orders, planned and unplanned are signed off to the distribution department timeously. Ensures that orders are accurate and that staged items are correct. Plans and monitors order movements from warehouse picking into dispatch. Ensure order information is correct on each order and liaise directly with the warehouse controllers on errors.
Coordinate with staff to ensure that work processes are being carried out.
Update the distribution department regarding the status of staging orders in progress. Inform dispatch of customer requests to ensure service levels are maintained and improved
Check that all products are organised as per client requirements.
Evaluate the correctness and quality of orders by comparing the contents with the information on the picking slip, e.g. title, quality, ref number, quantity etc. Initiate, coordinate, and evaluate workflow and procedures in the context of the daily operational targets. Organise and prioritise orders according to timelines and in coordination with picking departments and distribution departments demands.
Stock Management
Maintains inventory by conducting monthly physical counts, reconciling variances, inputting data. Responsible for the management and control of stock. Highlight areas of risk and manage variances to ensure the prevention of any stock losses. Participates in regular stock audits, supervises all quarterly and annual stock-count audits and resolves queries. Isolate any product which will not meet the established quality standards.
To lead and conduct stock checks and cycle counts according to work instructions and procedures. To make sure all pick locations are set-up and filled correctly, sufficient and all stock is systematically moved and allocated to the correct stocking location. Ensure receiving loads match the receiving documentation, report any deviations. Report all slow moving and non-moving product. Oversees stock replenishment.
Receiving and storage
Maintains storage area by organizing floor space, adhering to storage requirements, recommending improvements. Ensure safe receipt, storage, retrieval, warehouse control, and timely processing of stock movement. Observes packaging requirements and inspects pallets and/or storing equipment to verify conformance to specifications. To use stacking techniques that will prevent damage to product. To prepare the warehouse for receipt of stock according to capacity dimensions. Studies production order to ascertain type and quantity of product, containers to be used, and other packaging requirements. Stacking stock in the correct storage bays. Ensuring that all stacked pallets are wrapped securely and that all storage pallets are marked before stacking. Ensure stock is located as per warehouse specifications.
Food Safety
Ensure warehouse equipment is properly maintained. Make sure that stock is handled correctly according to food safety. Enforce compliance to food safety policies and procedures. Assist with internal audits, external audits and applicable training. Perform all work in accordance with company standards and established safety procedures. Ensure adherence to food safety requirements and use the company’s guidelines as a medium to drive improved results. Ensure employees are properly performing their duties that affect food safety or quality of products. Ensure personal appearance and uniform is compliant with food safety requirements. Maintain safe working environment according to company food safety procedures. Familiarise yourself with the food safety rules and hazards and report any risk. Comply with food safety rules of no stock on the floor, no stock against walls, etc. Report any observation of pests and non-conformance.
Health and Safety
Ensuring effective and safe use of warehouse equipment. Assist, support, investigate and adhere to all health and Safety processes and policies. To use stacking techniques that will prevent damage to product. Ensure that work is carried out in accordance with the highest level of safety and efficiency and meets standards of quality. To keep warehouse spotless clean, organized and safe. Respect safety measurements and highlight unsafe situations. Agree with manager on housekeeping & safety procedures and standards (make improvement inputs). Clarify and ensure understanding of housekeeping & safety procedures and standards amongst staff. Ensure systematic checking processes and enforce. Observe, guide and correct practices/behaviour towards achieving standards.
Administration duties
Prepare necessary paperwork and administer all data on warehouse activities and stock and maintain records of all documents. Identify areas of improvement and establish innovative or adjust existing work procedures and practices. Consult and coordinate activities with other departments.
Implementing operational policies and procedures. Make sure all administrative tasks are completed, documenting documents, data for reporting. To perform miscellaneous tasks assigned by manager, substituting for absent workers and performing any additional tasks necessary. Develop and review standard operating procedures for assigned area.
Report any change or decrease in performance immediately (group or individual), highlighting any potential delay in meeting deadlines or targets agreed and reporting of any exceptions or incidents that may have a negative impact on warehouse.
QUALIFICATIONS AND EXPERIENCE:
Minimum Grade 12
1 year preferable 2 years of formal certificate/ diploma level warehousing/wholesale studies would be a significant advantage
3 to 5 years’ experience in warehouse experience
Minimum 2 years’ experience with stock control
Supervisory experience - at least of a team of 4/5
Experience and knowledge of inventory control management processes
FMCG experience highly advantageous
Experience and knowledge of warehouse systems and technology
Valid Forklift licence
