The Warranty Administrator will handle all aspects of warranty administration for the dealership’s commercial vehicle division, ensuring accurate and timely processing of claims. This role involves overseeing fraudulent claims, maintaining warranty documentation, and keeping up-to-date with factory recalls and company announcements. The successful candidate will liaise with manufacturers, organize customer and service records, and negotiate on behalf of customers and the dealership, ensuring a high standard of service and accuracy. This is permanent employment to be based in the Midvaal (Gauteng).
DUTIES & RESPONSIBILITIES:
Warranty Claims Administration:
- Handle all dealership warranty administration tasks, including preparing, reviewing, and processing warranty claims for commercial vehicles.
- Oversee warranty documents to ensure accuracy, consistency, and maintenance in compliance with dealership and manufacturer standards.
- Monitor for potential fraudulent claims and take necessary actions in coordination with management.
- Maintain an organized system for warranty records and customer information, ensuring all documentation is accessible and up-to-date.
Documentation & Compliance:
- Organize and maintain customer and service records, ensuring that all warranty-related documents are accurate and well-maintained.
- Track and review updates related to factory recalls, manufacturer announcements, and warranty program changes, keeping the dealership informed.
- Conduct periodic audits of warranty documentation to ensure compliance with warranty policies and manufacturer guidelines.
Customer & Manufacturer Liaison:
- Maintain good relationships with clients by providing clear communication on warranty status, claim requirements, and resolutions.
- Liaise effectively with manufacturers to resolve any issues and ensure the smooth processing of warranty claims.
- Negotiate claims and warranty-related deals on behalf of customers and the dealership, advocating for fair and favourable terms.
Collaboration with Workshop & Service Teams:
- Work closely with service advisors, technicians, and parts departments to gather necessary information and ensure accuracy in claims.
- Provide feedback to the service and parts teams for improving warranty processes and supporting accurate claim submissions.
Quality Control & Monitoring:
- Ensure all claims are handled promptly, accurately, and within manufacturer requirements.
- Provide recommendations to reduce claim rejections and support service team performance.
- Maintain a high level of customer service by addressing warranty questions, providing guidance, and assisting with warranty-related issues.
EDUCATION, QUALIFICATION, EXPERIENCE & SKILLS:
- Grade 12 is required, with additional qualifications in warranty administration or automotive service being advantageous.
- Min 3-5 years of experience in a similar role within the commercial truck dealership / workshop industry, backed by a strong track record.
- Proficiency in dealership management software (experience with Pinnacle / CDK / SAP / Kerridge or similar is an advantage) and MS Office (Excel, Word, Outlook).
- System skills and technical familiarity with warranty processes, documentation, and claim handling.
- Experience in the commercial truck industry is required.
- Knowledge of warranty claim standards and familiarity with automotive parts and systems.
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks in a high-pressure, fast-paced environment.
- Effective communication and negotiation skills to liaise with manufacturers and clients.
- Ability to work under pressure and meet deadlines.
- Contactable references from previous employers to verify work experience and reliability.
