Workshop Administrator

Main Purpose of the Job:

To ensure that the workshop is running smoothly, and that all logistical, technical and administrative needs are met.

Matric

Tertiary qualification in relevant fields such as business administration or equivalent.

Key Responsibilities:
Take breakdown calls
Loading job cards for technician’s
Transfer parts to technician’s name (check bin numbers/availability)
Request parts be pulled for technicians from store
Load parts on job cards
Return parts from technicians’ jobs
Update synerion (clock ins) overtime etc of technician’s/office staff
Raise PO’s for contractors
Grn PO’s of contractors
Grn PO’s of suppliers imports & Exports
Scan and email contractor’s PO’s to accounts
File contractors’ invoices
Search for POD’s accounts request- scan and email those
Assist with quotes (Planned services and repairs)
Invoice orders for plugs & stickers
Filing contractors’ invoices & Suppliers
Work on all queries sent by mail
Handle all job cards (JHB, Cape Town and PE)
Quotes as requested co-ordinator/Technicians.
Job Card Requests (Customers/Accounts) (JHB, Cape Town and PE)
Process Job Card’s both Portal and manual. (JHB, Cape Town and PE)
Handle all Job card queries. (JHB, Cape Town and PE)
Invoicing. (JHB, Cape Town and PE)
Credits. (JHB, Cape Town and PE)
Follow up with customers on required purchase orders. (JHB, Cape Town and PE)
Mail Customer Invoices and Job card copies. (JHB, Cape Town and PE)
Travel time/km’s queries. (JHB, Cape Town and PE)
Customers querying jobs that should be warranties. (JHB, Cape Town and PE)
Run SOP006 to ensure all stock is allocated to Jobs for processing.
Request stock from branches (internal transfers) which is required for Jobs
Labour recovery report for accounts. (JHB, Cape Town and PE)
Email and file labour brokers time sheets
